Documents Required by All Universities
These documents are required at virtually every Kenyan university regardless of programme: KCSE Certificate or Result Slip (original plus 2–3 certified copies — certified by the school headteacher or a commissioner for oaths), National ID Card (original plus copies — if you do not yet have a national ID, a birth certificate plus a letter of pending ID from your local chief is usually accepted temporarily), KUCCPS Placement Letter (for government-sponsored students — print from the portal and bring printed copies), Recent Passport-Size Photos (typically 4–6 photos, confirmed size — most universities specify 2×2 inch or passport size), Medical Certificate (from a government-registered doctor or hospital — some institutions provide their own medical examination on reporting day).
Financial Documents
Fee payment receipt or bank slip — most universities require at least the first semester fees or a deposit to be paid before or on reporting day. Confirm the exact amount and payment method (bank transfer, Mpesa paybill, or direct payment) with the institution before reporting. HELB loan approval letter — if you applied for HELB, print and bring the approval letter. Scholarship/bursary award letter — if fees are partially or fully covered by a scholarship or bursary, bring the official award letter. Sponsorship letter — if a company, organization, or individual is sponsoring your fees, bring a formal letter on their letterhead.
Additional Documents Often Required
School Leaving Certificate — a letter from your secondary school confirming your completion. Certificate of Good Conduct — some universities, particularly for certain programmes (education, medicine, social work), require this. Apply through the DCI at least 3–4 weeks before reporting day as it takes time. County/Ward Birth Certificate — some institutions request a birth certificate alongside national ID. Guardian/Parent ID — some institutions request a guardian’s ID for students under 18 at the time of joining.
Programme-Specific Documents
Some programmes require additional documentation: Medical programmes — comprehensive medical examination results, hepatitis B vaccination certificate, sometimes police clearance. Education — certificate of good conduct. Law — sometimes additional academic references. Technical programmes — proof of any relevant prior training or certification. Confirm programme-specific requirements with the institution’s admissions office before reporting day.
Practical Reporting Day Checklist
Organize your documents in a clearly labeled folder before reporting day: originals in one section, certified copies in another. Pack more copies than you think you need — different offices at the same institution often ask for copies independently. Arrive early on reporting day (first hour) — queues build significantly through the day and early arrival means fresher administrative staff and faster processing.
