A university leave of absence is a formally approved pause in your studies that protects your enrollment. Here is how to apply correctly so you do not lose your place.
What Is a Leave of Absence?
A university leave of absence (also called study leave or intermission at some institutions) is a formally approved break from your studies for a specified period — typically one or two semesters. During an approved leave, your enrollment is preserved, you are not required to attend classes or sit examinations, and you can return to your studies at the agreed point without reapplying. It differs fundamentally from simply not attending — unofficial absence without formal approval typically leads to automatic discontinuation after a specified period of non-attendance.
Valid Grounds for Leave of Absence
Kenyan universities typically approve leave applications based on: documented medical circumstances (serious illness or injury requiring treatment or recovery), significant family emergencies (death of a primary caregiver, family crisis requiring your presence), financial hardship with a clear plan for resolving fees before return, compulsory national service or professional obligation, or successful award of a scholarship requiring deferring your current studies. Personal preference or dissatisfaction with your course are generally not accepted grounds — those situations call for a course change rather than a leave of absence.
The Application Process
Step 1 — Obtain the leave of absence form from your Dean of Students or Academic Registrar’s office. Step 2 — Complete the form with your details, programme, current year of study, the period of leave requested, and the specific reason. Step 3 — Attach all supporting documentation for your stated reason (medical certificate, death certificate, financial documentation, etc.). Step 4 — Obtain your Head of Department’s signature (required at most institutions). Step 5 — Submit to the Academic Registrar’s office before the current semester deadline (usually before examinations begin). Step 6 — Wait for written approval before making plans based on the assumption of approved leave.
HELB During Leave of Absence
During an approved leave of absence, you are not enrolled — HELB disburses only to currently enrolled students. Your HELB loan balance is paused during the leave period (interest may still accrue depending on current HELB policy). When you return from leave, you must reapply for HELB for the resumed academic year. Contact HELB directly before taking leave to understand the current implications for your specific loan account.
Returning from Leave
When you are ready to return: notify the Academic Registrar in writing before the semester you intend to return (typically 4–6 weeks before semester begins), confirm any conditions attached to your leave approval have been met, reregister for units through the normal process, and reapply for HELB for the returning academic year. Reconnect with your department, lecturers, and fellow students proactively — deliberate re-engagement after a period away significantly improves your transition back to academic momentum.
