Short Courses (1 to 6 Months)
Short secretarial courses at private colleges and training centers cover specific skills: basic typing and keyboard skills (1 to 2 months), Microsoft Office proficiency (1 to 2 months), business communication (1 month), shorthand introduction (2 to 3 months), and combined office skills programs (3 to 6 months). These are typically not KNEC-examined but provide specific skills certificates from the institution. Good for people who need to upskill quickly for a specific job application.
Artisan Certificate in Secretarial Studies (1 Year)
The Artisan Certificate in Secretarial Studies takes approximately 1 academic year (10 to 12 months) of full-time study. Entry: KCPE or equivalent. Content: keyboard operation and typing, basic shorthand, filing and record management, basic business communication, and introductory commerce. KNEC examination at year end. Qualifies for entry-level clerical and receptionist positions.
Craft Certificate in Secretarial Studies (2 Years)
The Craft Certificate in Secretarial Studies takes approximately 2 academic years. Entry: KCSE D+. Content: advanced typewriting and shorthand, office management and administration, business English and communication, office ICT skills, customer service, business mathematics, and commerce. KNEC examinations at end of each year. This is the standard qualification for formal employment as a secretary in Kenya’s public and private sector. Starting salary: KSh 18,000 to KSh 35,000/month.
Diploma in Secretarial Studies (2 to 3 Years)
A Diploma in Secretarial Studies or Business Administration takes 2 to 3 academic years. Entry: KCSE C- or above. Content: comprehensive business administration, executive secretaryship, public relations, event management, advanced ICT, human resource basics, and business law. Diploma graduates access executive assistant and senior administrative officer roles with salaries of KSh 40,000 to KSh 80,000/month.
Part-Time Study Options
Evening and Saturday secretarial classes are widely available in major Kenyan towns. Part-time programs extend duration by approximately 50 to 100 percent — a 2-year craft certificate may take 3 to 3.5 years part-time. This is a popular option for working adults upgrading their qualifications or for students who need to earn income while studying. Confirm KNEC examination registration is included in any part-time program you consider.
Can Secretarial Training Be Done Online?
Theoretical components (business communication, office procedures) can be studied online. However, KNEC Artisan and Craft Certificate examinations require physical attendance at an accredited institution for practical assessments. Hybrid programs combining online theory with physical practical sessions are emerging at some institutions. Full KNEC certification requires institutional enrollment regardless of how much supplementary online learning you do.
